PRIVATE LESSONS T&C's

The following terms and conditions apply to all students enrolled in private lessons with Making Music Academy Perth. By paying your invoice, you confirm that you have read and accepted these terms and conditions. Please don’t hesitate to contact us if you have any questions. Making Music Academy reserves the right to update these terms and conditions. Families will be reminded to review and stay up to date with our terms and conditions. 

Term Dates

  • Term dates are communicated via email prior to the start of each term and are also available on our website under the “Enrolled Students” section. No lessons are held or charged on public holidays. Enrolment is required for the full term to secure and maintain your regular lesson time with Making Music Academy.

Lesson Availability and Invoices

  • Lesson times are allocated based on availability within a teacher’s schedule. 

  • Payment must be received before the term begins to secure your lesson time.

  • If enrolling mid-term, a pro-rata invoice will be issued.

  • Payment through the invoice system or card payments will incur processing fees.

  • If paying directly into the business bank account, please do not include the processing fee. Please include your name and student name as the reference. 

For current enrolments:

  • Invoices for the upcoming term will be sent during the second-last week of the current term. Payment is due by the final teaching day of the term.

  • Lesson times will automatically roll over unless otherwise discussed. Failure to pay on time risks cancellation of your enrolment, and your lesson time may be offered to waitlisted students or new enquiries. 

  • If you require more time to make payment, please contact us to arrange a plan.

Communication

  • All communication outside of lesson times must be directed through Making Music Academy’s official email or work phone number: hello@makingmusicacademyperth.com, 0432 673 302 (for urgent matters). 

  • Teachers do not have access to students’ personal contact information, and students/families are asked not to contact teachers directly via email, phone, social media, messaging apps, or any other platform. Exception: Direct communication with Natasha is permitted for students taking lessons with her. This is so our teachers can focus on the teaching and the admin team can handle the rest. 

Lesson Cancellations

  • Full-term and pro-rata enrolments include a set number of lessons, which are invoiced accordingly. It is the responsibility of the student (or parent/guardian) to attend all scheduled lessons, whether weekly or fortnightly.

  • If less than 24 hours’ notice is given for a cancellation, the lesson is forfeited as the time has been reserved specifically for the student.

  • If more than 24 hours’ notice is provided, a make-up lesson may be offered within the same term, subject to teacher availability. In most cases, we will endeavour to find a suitable alternative time.

  • Private Group Lessons If one student is absent, the lesson will proceed as scheduled for the remaining students. If all students are absent, the standard cancellation and make-up lesson policy will apply.

Make-up Lessons

  • Where possible, make-up lessons will be scheduled within the same term. In some cases, and subject to availability, make-up lessons may be offered during school holiday periods.

  • All make-up lessons must be completed before the start of the following term. Any unused make-up lessons after this time will be forfeited.

  • Failure to attend a scheduled make-up lesson will result in forfeiture of that lesson.

  • A make-up lesson is considered a scheduled lesson and is therefore subject to the same cancellation and no-show policy

  • A no-show (where the teacher is present at the agreed location and the student does not attend) will result in the lesson being forfeited.

Teacher Cancellations

  • If a teacher is unavailable due to illness or unforeseen circumstances, we will endeavour to provide a suitable relief teacher or reschedule the lesson where possible.

  • If a replacement or reschedule is not possible, a credit will be applied to the following term or a refund issued for the missed lesson if the student chooses not to continue.

Child Safety, Safeguarding & Supervision

  • All teachers at Making Music Academy operate in accordance with applicable child safety standards and mandatory reporting obligations. Safeguarding procedures are in place to ensure a safe and professional learning environment at all times.

  • A parent, guardian, or responsible adult must be present at the premises for the duration of all in-home lessons. Teachers are responsible for delivering music tuition only and are not responsible for general supervision or the care of students outside of lesson delivery.

  • Lessons must take place in a shared or visible area of the home where appropriate.

Punctuality

  • Students must be ready to commence lessons promptly at their scheduled time.

  • If a student is late, the lesson will still conclude at the scheduled finish time.

  • If a teacher is late, they will aim to extend the lesson to make up the time or arrange an alternative time to makeup the outstanding time.

  • Lesson times must be strictly adhered to. Allocated lesson time includes setting up, writing up lesson notes, feedback/discussions with parents. 

  • Students who need to end a lesson early for any reason (including illness) forfeit the remainder of that lesson time.

 

Teaching Materials

  • In some cases, reimbursement may be required for materials purchased by Making Music Academy for student use. These requirements will be discussed and agreed upon before any charges are made and invoiced for.

Withdrawing from Lessons

  • If a student withdraws from lessons after enrolment, any unused prepaid fees may be eligible for a partial refund at the discretion of Making Music Academy. Where a replacement student is able to fill the vacated lesson time, a refund of up to 50% of the remaining unused balance may be offered, taking into account administrative costs and scheduling considerations. All fees are GST exclusive unless otherwise stated.

 

Liability

Making Music Academy and its teachers are not responsible for any costs, claims, damages, losses, expenses, injuries, or liabilities incurred by any person while on site, whether at a student's residence or at a teaching venue.
